Migrating between OFM CRMs

Two things transfer well, two transfer badly, and one never transfers at all. Knowing which is which before you start turns a migration into three uncomfortable days rather than a lost quarter.

What moves, what does not

Transfers well. Contacts and fan records, because they are table rows. Scripts, for the same reason. Media, when an export exists: long but mechanical.

Transfers badly. Conversation history, often partial or absent from the export. Tags and segments, because every tool has its own vocabulary: one tool's labels have no direct equivalent in another, and neither do SyncAgency's automatic spend tiers.

Never transfers. Historical revenue attribution per chatter. The new tool starts counting the day you install it. Every monthly series you keep is cut in two at that date, and that should be a decision rather than a discovery three months later.

The consequence to accept

Migrate on the first day of a month, never mid month. At least you will have whole months on either side of the cut.

What vendors publish about imports and exports

Migration is a commercial argument in both directions, and it shows in what gets published.

On the way out. One tool in the panel publishes a complete export without conditions: OnlyMonster, with "Everything you build inside OnlyMonster is fully exportable in CSV or JSON. Your data isn't trapped. Leave any time with full data portability and zero restrictions." It also publishes an API open to every user without approval, which can retrieve message history from a conversation. Infloww lists data exports among its features. For the other seven tools, the scope of the export is not documented publicly.

On the way in. Several vendors publish a dedicated arrival page. Infloww has a "Switch to Infloww" page. SyncAgency has an Infloww migration page stating that contacts, scripts and history can be imported into its own format, within "24 to 48h". Note the asymmetry. Many tools help you in, almost none document how to get out. That is the question to ask before signing, not after.

The order of operations

  1. Get the export before you cancel. In that order, never the reverse. Check what the file actually contains, column by column, before any other step.
  2. Run both tools in parallel on one creator. Not the whole roster. One mid sized creator, for a full week including a weekend.
  3. Rewrite the tags, do not translate them. This is the chance to clean a taxonomy that drifted over two years. An automatic mapping reproduces the mess exactly.
  4. Rebuild scripts by sales phase. Opener, upsell, closer, follow up. Tools that organise this way, such as SyncAgency, make the import faster and the check possible.
  5. Switch creators in groups of three. Never all in one night. The first group reveals what the export forgot.
  6. Keep the old tool one extra month. It is the cheapest insurance in the whole operation, and the only way to verify a disputed number.

The money side, the one people forget

Three published clauses deserve reading before you set a date.

Refunds. OnlyMonster states that "refunds are processed exclusively by crediting the unused portion of paid funds to your OnlyMonster Balance", prorated on unused days. An internal balance you cannot withdraw is not a refund.

Term commitments. Annual discounts are real and they lock you in. CRMChat advertises 15% off quarterly and 30% off yearly. A migration decided in March on an annual commitment signed in January costs you both subscriptions.

Payment reserves. If the tool you are leaving also collects your sales, money in transit takes time to come out. SyncAgency publishes in its terms "a 10% reserve held for 60 days". Two months of reserve at a payment partner you are leaving is something you plan for.

The two weeks after

Three things break every time, and they break quietly.

Scheduled follow ups. They do not transfer, and nobody notices until renewals dip. List the active triggers in the old tool before you close the account.

Tracking links. Old links keep receiving traffic for months from posts already published. The new tool does not know them, and that acquisition vanishes from your numbers without vanishing from your revenue.

Chatter habits. The shortcut everyone used is gone. Expect reply speed to drop for eight to ten days and do not read it as a people problem.
